Private medical treatment while your RAF claim is processed.

We arrange private treatment and pay the hospital while the RAF processes your claim. We do not invoice you for our services. The hospital and specialists we fund agree with us not to invoice you for the treatment we have funded. The treatment we fund is at no cost to you.

  • Emergency treatment and transport after an accident are decided by the emergency services and the treating doctors. We do not take part in that decision.

  • Pre-Undertaking Care

    We fund private treatment before the RAF issues an undertaking. An undertaking is the RAF’s written promise to pay for your future treatment at its tariff.

  • Post-Undertaking Support

    We administer the claims for your treatment once the undertaking is issued. Your treating doctors decide your treatment and whether you are fit to be transferred.

Your RAF claim is lodged by you or by your attorney. We lodge the hospital’s and specialists’ own claims with the RAF and administer them.

Streamlining Inter-Hospital Transfers (IHT)

Private treatment, funded through the RAF or COID, for patients fit for transfer.

State Facility Referral Portal

We arrange a bed at a private hospital, the inter-hospital transfer by a licensed ambulance service, and the funding of the admission. The treating clinician decides fitness for transfer. The patient, or a person entitled to consent for them, agrees to the transfer.

  • Capacity Relief

    We arrange private treatment for road accident and injury-on-duty patients whose treating clinician considers them fit for transfer and who choose private care.

  • Treatment at your facility continues until the transfer takes place. The clinical record and discharge summary go to the receiving hospital, not to us.

  • Direct Support

    We manage the administration of the transfer with your admissions desk and the receiving hospital.

This notice explains what personal information we collect through this website, why, and what your rights are under the Protection of Personal Information Act, 2013 (POPIA).

What we collect on this website. The forms on this website collect your name, email address, phone number, the organisation you represent where applicable, and the service you are enquiring about. The patient form also asks who you are in relation to the patient, the date of the accident, the status of any claim, and where the patient currently is. The patient is not named on the form. The state facility form also asks whether the treating clinician has recorded the patient as fit for transfer. We do not collect details of injuries, diagnoses, treatment, identity numbers or documents through this website. Where we need that information, we request it after first contact by Microsoft 365 email or a OneDrive link restricted to named recipients, and with the consent of the person it concerns, or of a person entitled by law to consent for them. Where the patient is a child, we obtain the consent of a competent person.

Why we collect it. To reply to your enquiry and to assess whether we can provide the service you asked about. We process it on the basis of your consent, given by ticking the consent box on the form, and, where you enquire on behalf of an organisation, because processing is necessary for our legitimate interest in responding to the enquiry. Information about a patient supplied by a family member or a hospital is processed because it is necessary to establish the patient’s claim and, after first contact, with the patient’s consent. You may withdraw consent at any time by writing to popia@valomatesolutions.co.za. We do not use enquiry information for direct marketing unless you agree to that separately.

Who receives it. Form submissions are sent by email to the Valomate Solutions staff responsible for the audience concerned. We do not sell enquiry information. We host this website on our own hardware in South Africa. Microsoft, which provides our email and file storage, and our IT support provider process it as our operators under written contracts. Our Microsoft email and file storage are held in Microsoft’s South African data centres. Cloudflare checks that each form submission comes from a person and processes the connection details of that check on its own network, which may be outside South Africa. Where a service is provided, information is shared with the hospitals, funds and other parties needed to deliver it, under separate agreements.

How long we keep it. Enquiries that do not lead to a service are deleted 12 months after our last contact with you. Records of a service we provide, including health information, are kept for seven years after the matter is closed, or, where the patient was a child, until the later of that date and the patient’s 21st birthday. Email is purged after 180 days; records we must keep are moved to the matter file before then.

How we protect it. We keep personal information in our own claims platform, in Microsoft 365 and on encrypted company laptops. Access is limited to the people who need the information for your matter. Every account is protected by a password and multi-factor authentication. We hold no paper records. If a breach affects you, we notify you and the Information Regulator.

Your rights. You may ask what personal information we hold about you (under the Promotion of Access to Information Act; see our PAIA manual), ask us to correct or delete it, object to processing, and complain to the Information Regulator (JD House, 27 Stiemens Street, Braamfontein, Johannesburg, 2001; 010 023 5200; POPIAComplaints@inforegulator.org.za).
